These Terms and Conditions (“Terms”) govern your use of the Florida Housing Officers (FHO) website and participation in any FHO-related events, surveys, programs, and communications platforms. By accessing our site, submitting information, joining a listserv, or registering for events, you agree to comply with and be bound by these Terms.
1. Organization Overview
Florida Housing Officers (FHO) is a professional association dedicated to supporting housing professionals across the state of Florida through networking, education, and leadership development.
2. Use of Website and Content
All content on this site, including logos, graphics, event materials, and downloads, is the property of FHO or its contributors and is protected by applicable copyright laws. You may not reproduce, modify, or distribute any content without written permission from FHO.
3. Registration and Event Participation
By registering for an FHO event or completing a form on our website, you agree to:

Provide accurate and complete information

Comply with event guidelines, behavioral expectations, and any venue rules

Grant FHO permission to contact you regarding future events, opportunities, and membership updates
FHO reserves the right to refuse or revoke registration for any individual who violates event policies or professional conduct standards.
4. Sponsor & Donor Engagement
If you register for the FHO Annual Fall Meeting, your name and email address may be shared with our corporate sponsors and donors for professional follow-up and engagement purposes.
FHO does not share additional personal or registration information beyond what is necessary for Fall Meeting sponsor engagement.
5. ListServ and Member Communications
FHO maintains several official email ListServs (i.e. members@floridahousingofficers.org) to facilitate communication with and among its members. By subscribing to the ListServ or providing your email through registration, forms, or event attendance, you agree to:

Receive updates, announcements, and resources from FHO

Engage professionally and respectfully with other members if posting to the group

Not use the ListServ for unsolicited promotions, spam, or sales unrelated to FHO's mission
FHO reserves the right to moderate, restrict, or remove individuals from the ListServ who misuse the platform or violate communication standards
6. Payments and Refunds
FHO event registrations and sponsorship payments are refundable under the following conditions:

Refund requests must be submitted no later than two weeks prior to the event,
or -
Before the meal/payment cutoff date, when the final payment is submitted to the venue host (whichever comes first),
or -
As otherwise stated in writing or at the discretion of the FHO Executive Board or Senior Housing Officers (SHO) Board.
All refund requests must be submitted in writing to executiveboard@floridahousingofficers.org and treasurer@floridahousingofficers.org. After the deadlines outlined above, no refunds will be issued except in the case of extenuating circumstances, subject to final determination by the FHO Executive Board or SHO Board.

7. Data Privacy
FHO values your privacy. All data submitted through our forms, surveys, or registrations is handled in accordance with our Privacy Policy. We do not sell your information to third parties.
8. Limitation of Liability
FHO is not liable for any direct, indirect, or incidental damages arising from your use of this website or participation in FHO events. All content and services are provided “as is” without warranties of any kind.
9. Virtual Events, Webinars, and Committee Participation
FHO offers a variety of virtual engagement opportunities for professional development and networking, including but not limited to:

Webinars hosted by FHO members and guest professionals

Committee meetings and planning sessions

Virtual networking events and open forums

Educational panels or small group discussions
By participating in these sessions, you agree to the following:

Maintain professional conduct in all discussions, chats, and breakout groups

Respect confidentiality and intellectual property shared during these sessions

Avoid recording, redistributing, or republishing any portion of the session without prior written consent from FHO and the presenter(s)
Some sessions may be recorded for internal training or recap purposes. Attendees will be notified in advance if a session is being recorded.
FHO reserves the right to remove any individual from a virtual session or ongoing committee membership if they violate community expectations or exhibit unprofessional conduct.
10. Elections, Presentations, and Recognition
A. Executive Board Candidacy Requirements
Individuals interested in running for the FHO Executive Board must:

Be a current professional member in good standing with FHO
-
Obtain written approval from their Senior Housing Officer (SHO), direct supervisor, and housing department leadership prior to candidacy
-
Meet any additional eligibility criteria stated in the FHO Bylaws or election materials
FHO reserves the right to request confirmation of institutional support before finalizing a candidate’s eligibility.
B. Workshop Presentations and Proposals
Members and professionals who submit proposals to present at FHO events (including virtual and in-person workshops, panels, and webinars) agree to:

Submit presentation titles, descriptions, and session materials in advance

Grant FHO the non-exclusive right to distribute materials (e.g., in a session archive or post-conference resource hub)

Acknowledge that selected proposals may be publicly promoted by FHO for event marketing and member engagement
Presenters must comply with professional standards and respect copyright, institutional branding policies, and content ownership requirements.
C. Awards and Recognition
FHO collects nominations and supporting documentation as part of its Awards & Recognition Program. By submitting a nomination, you confirm that:

All information is accurate and submitted in good faith

You have permission to nominate the individual or department being recognized

Supporting documentation (e.g., statements, letters, images) may be shared internally with the Awards and Recognition Subcommittee, selection committee, and used for recognition purposes (e.g., event programs, website highlights, or social media spotlights)
Nominees selected by the Awards and Recognition Subcommittee of the FHO Connect Committee will also be submitted as candidates for the adjacent SEAHO awards.
FHO, in collaboration with the Awards and Recognition Subcommittee and the Executive Board, will submit nominations on behalf of both the nominator and the organization. This effort supports increased award representation from the State of Florida and helps to elevate the recognition of FHO members at the regional level.
However, we strongly encourage all nominators to submit their nominations directly to SEAHO as well, regardless of whether their nominee was selected through the FHO process. Doing so maximizes visibility and strengthens the presence of Florida professionals in the broader housing and residence life community.
Award recipients may be featured publicly, and FHO may request a photo, short biography, or quote for recognition materials.

12. Photo/Video Release
By attending any FHO-hosted event (virtual or in-person), participants grant Florida Housing Officers (FHO) the right to record, photograph, and use their image, likeness, and voice in promotional and educational materials. These materials may include but are not limited to event photos, session recordings, social media posts, website content, and printed publications.
If you prefer not to appear in any photos or videos, please notify an FHO staff member or contact us in advance at admin@floridahousingofficers.org and connect@floridahousingofficers.org. While we will make reasonable efforts to accommodate your request, we cannot guarantee full exclusion from group or background imagery.
13. Changes to Terms
FHO may update these Terms at any time. Changes will be posted on this page with an updated effective date. Continued use of the website or participation in events constitutes acceptance of any modifications.
